2025 Google Workspace for Education Pricing and Licensing Updates

Stay ahead of upcoming Google Workspace changes. Learn what’s changing with Education Plus, pricing, licensing minimums, and Gemini AI tools in 2025.

If your school or district uses Google Workspace for Education, significant updates are coming your way starting October 2025. Google is rolling out changes to its pricing and licensing model—designed to streamline processes, enhance features, and simplify offerings. Let's break down what these changes mean for your institution.

Education Plus and Education Standard Now Use One Unified License

One of the most impactful changes is the move to a single license type for both Education Standard and Education Plus subscriptions. Previously Education Plus and Education Standard had distinct licenses for staff and students due to varying feature sets. Going forward, all licenses will grant access to the same comprehensive features.

What this means for you:

  • Simplified Management: Easier license assignment and ordering.
  • Unified Support: Clearer subscription management with consistent start and end dates.
  • Faster Processes: Quicker ordering and renewal experiences.

Farewell to the 1-for-4 License Model

Under the current model, institutions received one complimentary staff license for every four paid student licenses in Education Plus or Education Standard. This benefit will be discontinued. Instead, customers will now need to cover each of their active Education Fundamentals licenses with either an Education Plus or an Education Standard license.


Good news for renewing customers: If you're an Education Plus customer increasing your paid licenses by 10% upon renewal, you'll qualify for a 10% discount on the first year of your renewal as you transition to this new single license type.


New Minimum License Requirements

Google is updating how minimum license quantities are calculated under the new single-license model. Here's what’s changing:

Current requirement:

Schools must purchase the greater of:

  • 50 licenses OR Licenses that cover total student enrollment

New requirement (starting in 2025):

Schools must purchase the greater of:

  • 50 licenses OR Licenses equal to or greater than the combined total of:
    • All full- and part-time students, plus
    • All staff who need an active Education Fundamentals license

How Current Google Workspace for Education Customers Can Renew Under New Rules

If you’re renewing Education Plus or Education Standard before January 1, 2026, you can still base your license count on full-time student enrollment only during your renewal.

Updated Pricing for Education Plus and Add-ons

Google is adjusting global list prices to reflect ongoing investments in premium features and functionality across its paid editions.

When Do These Changes Take Effect?

The specific dates for new pricing and minimum purchase requirements depend on your plan type and other factors. Google will provide existing subscribers at least 30 days' notice before any pricing updates.

Flexible Plan Customers:

New pricing will take effect no sooner than October 1, 2025.

Annual Plan Customers: 

The earliest effective dates vary by transaction type:

  • New Purchase (e.g., Fundamentals to Plus): No sooner than October 1, 2025.
  • Renewal (e.g., Plus renewing Plus): No sooner than February 1, 2026.
  • Downgrade (e.g., Plus to Teaching and Learning): No sooner than October 1, 2025.
  • Repurchase (long-term lapse): No sooner than October 1, 2025.
  • Upgrade (at renewal & mid-term): No sooner than February 1, 2026.
  • Repurchase (short-term lapse): No sooner than February 1, 2026.

Gemini Gets an Upgrade: Meet Google AI Pro for Education

Google is also streamlining its generative AI offerings.

Current Add-Ons/Model:

  • Gemini Education ($20/user/month)
  • Gemini Education Premium ($30/user/month).

What’s Changing:

Beginning September 1, 2025, new customers can purchase a single add-on: Google AI Pro for Education. This new offering includes all the advanced features previously found in Gemini Education Premium at a lower price point.

Transition Details:

Existing Gemini Education Premium subscribers will automatically transition to the new Google AI Pro for Education subscription at their renewal, starting February 1, 2026. 

These updates aim to simplify licensing, provide more unified features, and reflect the ongoing innovation in Google Workspace for Education. It's advisable to review your current subscription details and plan for these upcoming changes to ensure a smooth transition for your institution.
